Information to the Chairs and Speakers
(1) To Chairs
Please come to the “Next Chair” seat, which is situated the righthand side towards to the screen roughly 10 minutes before your session starts.
Presentation duration is differed by sessions. The time was notified to the speakers and chairs.
The operation of the session is on the Chairs, however, please keep the allocated time without the delay.
(2) To Speakers
Presentation data
- The oral presentation is only by using the PC.
- Please visit the PC center at least 1 hour before your session starts. This process is required even if you are presenting by using your own PC.
- Please come to the “Next Speaker” seat, which is situated the lefthand side towards to the screen roughly 10 minutes before your session starts.
- Presentation duration is differ by sessions. The time was notified to the speakers and chairs.

【Presentation equipment and data】
Please prepare your presentation data in English.
Please save your presentation data on the USB flash memory or laptop PC and bring it with you to the PC registration center.
*If the movie is included or the data was created by using Macintosh, please bring your own PC.
Monitor screen size is 16:9.
To avoid the delay of the session, it is not possible to use the Presentation Mode of PowerPoint. If you need the Note for your presentation, please print it out prior to coming to the venue.
【Submitting your presentation data by USB flash memory】
The PC to be prepared in the presentation room will be as below

Application:Power Point for Microsoft 365
To avoid the garbled text please use the standard font which are on Windows11. Please use the following font if it is possible.
Arial、Century、Century Gothic、Times New Roman
If your presentation is included the movie, please prepare the movie which is possible to play by using Windows Media Player. We recommend to save the movie on mp4 or wmv style.
Please save the data with the title as “ IHEPA_session_name “
We will delate the all of presentation data which are received at the PC data center after finning the conference.
*The congress secretariat will not change any of your submitted data on the day of the conference. Please check by yourself by coming to the PC data center by yourself.
*The Keypad and computer mouse are prepared on the podium. Please operate, turning to the page, by yourself.
【Using your own PC for the presentation】
If your PC is implemented the above output terminal, please bring the appropriate conversion terminal to connect for HDMI or mini D-sub15 pin.
Also, please bring the AC power adapter with 2 pin to use in Japan with you.
Even you are planning by using your own PC, please bring the data by saving on the USB flash memory as back up data in case the PC is not working properly. Presenting by using tablet or smartphone are not available.
Conflict of Interest (COI)
Please report any conflict of interest involved in the last 3 years.
Please insert the COI disclosure slide just after the title page of your slide.
Please note that even if there are no conflicts of interest to disclose, please insert the COI disclosure slide.

Information for Poster presentation
Please note that no actual verbal presentation time is scheduled during IHEPA2025.
Time to put up the poster; Friday 31st January 8:00-11:00
Free browsing; Friday 31st January 11:00 till Saturday 1st February 16:25
Time to take off the poster; Saturday 1st February 16:25-17:00
Please prepare the poster the size as shown on the right.
The poster should be created by using English Language.
The board and the push pins to put the poster are prepared by the Congress secretariat.
The poster number plate is prepared by the Secretariat.
Please take off and bring back the poster by Yourself. In case of taking off the poster before the time stated above, please let the congress secretariat know.
The posters left on the board after 17:00 on 1st February will be distributed by the congress Secretariat.
Please note that poster presenters should register and complete the payment before the date of conference.
The venue of the poster presentation will be on the corridor in front of the IHEPA2025 room, which is the Room 6, second floor at the Grand Nikko Tokyo Bay Maihama.
